How can archive scoping help me?
For one client: "Sarah has been a great help in kick starting our move to professionalise the archive from a room of degrading material to a fully functioning service. her road map has been invaluable and her work looking at digital systems has helped us push our plan forward". GC
What's an archive scoping report?
An archive scoping report gives you an overview of your collection: its possible future use, as well as content and its physical state. It identifies any immediate risks and simple, low/no cost solutions. It gives you options and a roadmap for next steps.
An archive scoping report enables you to make informed decisions about your archives, whether these are in physical or digital form.
Why do archive scoping?
Previous clients have used their report for
- marking important anniversaries
- securing internal and external investment, including National Lottery Heritage Fund (NLHF) and Archives Revealed Cataloguing Grants
- digitising
- disposing of outdated and obsolete records in line with legislation
- transferring collections to better storage
- improving digital archiving and information management
- reducing data protection and copyright risks and improving compliance
- training staff or volunteers
How does it work?
Together, we discuss your requirements for the work and identify any preparatory work. This might include reviewing existing documentation or talking to key people.I then visit the archive. Depending on size this may take 1-3 days, usually consecutively.
You’ll usually receive your draft report in a couple of weeks. It will be presented in a way that will meet any funder requirements, if applicable. I can present to Boards if needed.
How much does it cost? Can I get funding for archive scoping?
Costs depend on the size of the archive and your desired turnaround time, and are usually in the region of £3,000. Many clients secure organisational investment to get their report at a time that suits them.
Alternatively, the National Archives Scoping grants scheme may be for you. This is often very competitive, and you must have a collection of public benefit to which you will provide free public access in the future to be eligible. There are usually four application deadlines each year, with decisions notified within 2-3 months.
